Our Commitment to Schools
The Labyrinth coordinates and arranges educational journeys with reasonable care and skill, working with reputable local and third-party providers. Before departure, schools receive detailed trip information, guidance, behavioural expectations and emergency procedures, together with access to a 24-hour emergency contact during the journey.
Working in Partnership
Successful educational travel relies on close collaboration between The Labyrinth and the school. Schools are responsible for providing accurate participant information, obtaining the necessary parental consent and ensuring students are appropriately prepared for the journey.
Safety, Safeguarding & Supervision
Student wellbeing and safeguarding are central to our programmes. School staff remain the primary supervisors throughout the journey and must hold appropriate safeguarding checks and training, while Labyrinth staff accompanying trips are also required to hold relevant DBS or equivalent checks.
Insurance and Travel Requirements
Schools must ensure that every participant has appropriate travel and medical insurance for the destination and activities involved. They are also responsible for ensuring passports, visas, travel authorisations and other required documentation are in place before departure.
Preparing for the Journey
Before travelling, students receive guidance covering behaviour, local customs, safety and communication. The Labyrinth also offers a pre-trip orientation session for participants and parents, helping everyone understand what to expect and how to prepare.
Responsible Behaviour
Participants are expected to respect local communities, fellow travellers and the environments they visit. Our Code of Conduct covers appropriate behaviour throughout the journey, including responsible photography and social media use, and establishes clear expectations around alcohol, drugs and serious misconduct.
Accessibility & Individual Needs
We ask schools to tell us about disabilities, special educational needs and other individual requirements well in advance. This allows us to work with our local and third-party partners to understand what arrangements can reasonably be made for each participant.
Payments
A deposit is payable when the contract is signed, with the remaining balance due no later than 30 days before departure. Full payment details and the agreed cost of the programme are set out in the individual school contract.
Cancellations & Changes
We understand that circumstances can change. Our T & Cs explain what happens if a school cancels, participant numbers change, or circumstances beyond our control require changes to an itinerary, accommodation, transport or activities. Wherever reasonably possible, we will seek suitable alternatives.
Emergency Support
If an emergency occurs during a journey, The Labyrinth will provide reasonable assistance with coordination and communication, including liaising with emergency services, suppliers and relevant contacts where appropriate. Schools and participants should ensure their insurance provides suitable cover for medical treatment, repatriation and other emergency costs.
Privacy & Participant Information
Schools and The Labyrinth share certain participant information in order to plan and operate journeys safely. Both parties are required to handle personal information responsibly, maintain appropriate security measures and comply with applicable data protection legislation.
Our Materials & Photography
The Labyrinth’s itineraries, guides, pre-trip materials and other programme resources remain our intellectual property. Photography and video involving students are also subject to appropriate consent, with schools responsible for notifying us when a participant must not be photographed or filmed.
Legal Framework
Our school agreements are governed by the laws of England and Wales, with disputes falling under the jurisdiction of the courts of England and Wales.
